First Baptist Dallas seeks Christ-centered professionals who want to join a team of disciplined and talented superstars committed to working together to accomplish our mission. The Administrative Assistant will provide support to the Associate Minister to Jr. High and High School, the Associate Minister to Girls, and the Associate Student Minister of Worship.
ESSENTIAL DUTIES:
- Assist in planning, coordinating, and implementing the duties and responsibilities of the Associates for Student Ministry
- Function in an interactive relationship with all other ministries of the church and entities or personalities outside the church
- Gather data to communicate Student Choir attendance, including the number of students, leaders, etc., weekly
- Execute and attend student ministry events such as Choir Performances, Mission Trips, Dallas Christmas Spectacular, Hangouts, Girls Ministry, and other events
- Prepare materials for rehearsals, meetings, or Sunday morning service (lyric slides, music folders, check-in, food, weekly attendance reports, announcements, sermon, etc.)
- Manage student worship volunteer administration, including background checks, Ministry Safe Training management, W9s for paid volunteers, and Student-to-Leader Assignments
- Communicate consistently with Parents and Leaders, as needed, regarding student ministry events and activities
- Oversee the necessary responsibilities for Mission Trips:
- Hotel arrangements (proposals and price comparisons)
- Mission location site visits
- Transportation arrangements (flights, buses, etc.)
- Necessary forms completed for all student or volunteer participants
- Managing the trip logistics (room assignments, catering meals, ordering supplies, information packets, etc.)
- Manage calendaring to scheduling, equipment, and resources for events, rehearsals, auditions, recordings, etc.
- Facilitate communication requests, such as banners, slides, posters, and t-shirt designs
- Manage attendance, rosters, and tracking of student/parent service hours
- Adhere to department budget and handle financial matters, such as budget planning, expense reports, Sunday musician payments, purchase order requests, check requisitions, credit card reconciliations, etc.
- Manage the calendar for the Associate Student Minister of Worship and the Associate Ministers of Students
- Must provide “relief of duties” support to the receptionist desk on a rotating basis for coverage
- Perform other duties as assigned by the Minister of Students
- Perform other duties as assigned by the Associate Ministers to Jr. High and High School, the Minister to Girls, and the Associate Student Minister of Worship

Professional & Education (Certifications or Licenses)
- Embody the Green Team Characteristics and work according to First Baptist Dallas Operating Principles
- Minimum of 2-4 years of experience as an Administrative Assistant
- Forward thinking, pro-active, team player
- Strong communication skills, both verbal and written
- Attention to detail and ability to solve problems
- Intermediate level experience with Outlook, Excel, and Microsoft Word
- Proficient in eSpace, Shelby Next, and Touchpoint
- Some financial or accounting experience is helpful, but not required
- Availability to travel 2 to 3 weeks per year
- High School diploma, preferably a bachelor’s degree
