General Position Summary:
This positions oversees responsibilities including marriage preparation, baptisms, and the management of the columbarium.
Principal Accountabilities:
Marriage Preparation-
- Oversees the entire marriage preparation process for Good Shepherd
- Communicates with engaged couples looking to be prepared at Good Shepherd.
- Assigns engaged couples to a Priest, providing the couple with all the information for their initial meeting.
- Keeps open communication with Priests on any changes with engaged couples’ marriage preparation timeline.
- Monitors deadlines and communicates with engaged couples about when all paperwork needs to be turned in by.
- Collects and submits all paperwork to the Diocese in a timely manner
- Oversees our Mentor Couple program, assigning engaged couples to their mentor couple as needed and planning training sessions for the mentor couples when needed.
- Will be present at all wedding rehearsals (Friday 5-6pm) and weddings (Saturday 12:30-3:30pm) that take place at Good Shepherd, adjusting normal work hours during the week, when needed.
Baptisms-
- Oversee the entire baptism preparation process alongside our liturgy department
- Ensure all proper documentation is collected in a timely manner
- Keeping an open line of communication with the parents, ensuring their awareness of deadlines and paperwork that is needed.
- Coordinate with the liturgy department to set monthly baptisms and communicate the dates to inquirers.
- Oversees and schedules Baptism Prep classes, keeping an open line of communication with facilitators, to ensure classes are scheduled and attended.
- Training for Baptism Prep Facilitators, when needed
Columbarium-
- Schedule meetings with Parishioners that are interested in purchasing a niche in our columbarium.
- Facilitates the sale of niches
- Maintain the columbarium software, keeping track of sales.
- Keeping all Columbarium files up to date and organized.
- Weekly upkeep of our Columbarium, ensuring all broken items and dead plants have been removed.

- The Diocese, Pastors, Priests, Principals, Business Managers, and employees.
External Contacts:
- Parishioners, engaged couples, diocese vendors, local, state, and federal agency representatives, and auditors.
Working Conditions and/or Physical Requirements:
- This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads.
- Ability to sit and perform computer work for lengthy periods of time.
- Able to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves.
- Ability to accept work interruptions while still remaining focused on duties.
- Data entry via computer keyboard that requires repetitive and frequent hand and wrist movements.
- Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance.
Travel Requirements:
Education and Experience Preferred:
- High School Diploma (Required)
- Experience with sacraments is preferred
Knowledge and Skills Preferred:
- Demonstrated ability to listen empathetically, make peace, and de-escalate
- Demonstrated history of good judgement.
- Demonstrated aptitude for adaptability and flexibility.
- Ability to use various computer software programs; strong computer skills in Microsoft Office Suite, especially in Word and Excel.
- Ability to use various office machines (copier, fax, phones, calculator, scanner, etc.) or ability to learn.
- Working knowledge of the sacraments, especially matrimony and baptism is preferred.
- Ability to meet deadlines and follow directives from Pastor or Business Manager in a timely manner.
- Ability to receive, understand, retain, and complete verbal and written tasks.
- Ability to work independently as well as in teams.
- Ability to provide excellent customer service and work efficiently with staff, clergy, religious, and laity.

FLSA Designation: (Non-Exempt) (FT = 40 Hours) (Monday-Friday 8am-5pm. Hours and days will fluctuate if a wedding is scheduled. Friday evening and Saturday hours will be required on occasion).
