Description:
Christ For The Nations is seeking a highly organized and detail-oriented Facilities Administrator to provide administrative and operational support to the Facilities Department. This role serves as a primary point of contact for service requests, work orders, purchasing activities, vendor communications, inventory management, and departmental correspondence. The position maintains accurate records, supports payroll and human resources processes, and facilitates effective communication between staff, tenants, contractors, and other departments. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while supporting the mission and operational goals of the organization.
Qualifications:
- At least 2 of administrative experience, with an emphasis on facilities or maintenance areas.
- Effective written and verbal communication skills
- Seasoned judgment skills and decision-making abilities
- Ability to work collaboratively and harmoniously as part of a small team
- Ability to adhere to deadlines and effectively manage time
- Computer literate, word, excel, outlook (minimal requirements)
Special Requirements:
- Ability to pass a background check and drug screening
- Minor lifting may be required up to 15 pounds
- Remain flexible to the needs of the department and respond according to the directives of the Director of Facilities
Duties and Responsibilities:
- Coordinate and monitor departmental programs, projects, and initiatives as assigned by management, ensuring timely completion and compliance with established objectives
- Serve as the primary point of contact for incoming maintenance-related calls, emails, and service requests, accurately documenting, prioritizing, and routing requests to the appropriate personnel
- Provide exceptional customer service and problem resolution support to tenants, staff, students, vendors, and other departments
- Maintain accurate records through data entry and management of work orders, service tickets, inventory, supply requests, and departmental documentation
- Assist with training employees and scholarship students on departmental procedures, communication platforms, and operational systems
- Prepare and distribute departmental correspondence, reports, memos, spreadsheets, and other administrative documents
- Maintain office equipment and coordinate repairs or service requests when necessary
- Monitor office supply inventory and place orders to ensure uninterrupted departmental operations
- Facilitate communication and information flow between Facilities, campus departments, vendors, and external stakeholders
- Provide administrative and reception support as required to ensure efficient office operations
- Maintain strict confidentiality regarding personnel, operational, and organizational information
- Develop a working knowledge of campus facilities, organizational structure, and departmental functions to effectively support operations
- Identify opportunities to improve efficiency, reduce costs, and enhance departmental effectiveness through process improvements and operational recommendations
