Reports To: Dir. of Business Operations

Position Type: Full time / 40 hours per week (Monday-Friday)
General Summary of the Position:
The Administrative Assistant will provide administrative, organizational and office support to the Pastor, including:
- Calendar and Scheduling – managing the Pastor calendar, scheduling meetings, appointments, and travel itineraries.
- Communication and Correspondence: managing incoming and outgoing correspondence including emails, phone calls, letters, cards, and mail, ensuring timely response and effective communication.
- Travel Arrangements: planning and coordinating travel arrangements including booking flights, accommodation, and transportation.
- Meeting Coordination: preparing meeting agendas, coordinating logistics, taking minutes, and distributing meeting materials.
- Reports and Presentations Preparation: preparing reports, presentations, and other documents as asked by the Pastor, ensuring accuracy and professionalism.
- Relationship Management: interacting with parish and school staff, contractors, parishioners, and the greater Catholic community while maintaining positive relationships.
- May be asked to perform other duties as required.
Position Requirements
- Proven experience as an Administrative Executive, Administrative Assistant, or similar role.
- Excellent customer service and collaboration well with others.
- Organize, detail-oriented, and manage time well.
- Strong written and verbal communication skills.
- Strong problem-solving skills with the ability to multitask and adapt in a fast-paced environment.
- Maintain confidentiality and handle sensitive information with professionalism.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
Job Qualifications
Education
- Associate or bachelor’s degree in business administration, management, communication or a related field is preferred.
Experience
- Experience as an Administrative Executive, Administrative Assistant, or similar role is preferred.
- Previous experience of working effectively in a team-oriented and collaborative environment.
- Ability to work flexible hours, including weekends and evenings.
Special Requirements
- Practicing Catholic with thorough knowledge and understanding of Catholic teachings, preferred.
- English proficiency required. Bilingual English/Spanish preferred.
