OVERVIEW The Worship Team Admin provides strategic administrative and operational leadership that enables the Worship Ministry to thrive. This role exists to create healthy systems, remove obstacles, and support the Worship staff and volunteer teams so they can focus on leading people into meaningful worship experiences.
The ideal candidate is highly organized, proactive, relational, and thrives behind the scenes. They anticipate needs, manage details with excellence, and create systems that help staff and volunteers feel supported, equipped, and cared for.
KEY RESPONSIBILITIES Operations & Administration - Oversee the day-to-day administrative operations of the Worship Ministry, ensuring excellence across calendars, projects, budgets, and communication.
- Manage scheduling, room reservations, purchasing, reimbursements, payroll for paid musicians, and operational workflows.
- Coordinate facility requests, meeting logistics, retreat planning, and ministry events.
- Maintain clear documentation, meeting notes, and ministry systems that keep the team aligned.
Staff & Ministry Support - Anticipate the needs of the Worship Pastor and staff by proactively solving problems and managing priorities.
- Serve as the central point of coordination for ministry requests and communication.
- Partner with other ministry teams to ensure worship-related elements are communicated and executed effectively.
- Support the Creative Ministry and other church-wide initiatives as needed.
Volunteer Experience - Lead administrative systems for volunteer and paid musician onboarding.
- Coordinate volunteer scheduling across all worship venues and special events.
- Help cultivate a volunteer culture where people feel known, appreciated, equipped, and celebrated.
- Support volunteer appreciation rhythms, trainings, and special events throughout the year.
Systems & Excellence - Develop and improve systems that create efficiency, consistency, and clarity for the Worship Ministry.
- Manage ministry databases and software platforms including Planning Center, Microsoft Teams, SharePoint, Excel, and other operational tools.
- Ensure details are executed with excellence while maintaining flexibility in a fast-paced ministry environment.

- Excellent interpersonal skills with the ability to build healthy relationships with staff and volunteers.
- Proficiency with Apple OS, Microsoft Excel, Planning Center Online, Microsoft Teams, and related administrative systems.
- Experience supporting ministry, nonprofit, or executive leadership preferred.
