Position Overview:
The Campus Administrator ensures seamless daily operations of the campus by overseeing administrative tasks, facility management, volunteer coordination, and ministry support. This role supports the Campus Pastor by maintaining exceptional organization, clear communication, and effective execution across all campus operations.
Key Responsibilities
- Act as the primary point of contact for campus administrative needs.
- Manage campus calendars, schedules, and facility use requests with proactive planning.
- Coordinate volunteer scheduling for hospitality, setup/teardown, and events, ensuring adequate coverage.
- Maintain accurate membership, attendance, and ministry records in church management systems.
- Manage campus communications, including calls, emails, and forms, with professionalism and clarity.
- Process invoices, expenses, and supply orders within budget guidelines.
- Ensure facilities are clean, well-maintained, and fully prepared for all services and events.
- Provide logistical and administrative support to ministry leaders for planning, materials, and communications.
Essential Functions and Responsibilities:
Weekly Responsibilities
- Administration
- Proficient with Microsoft Office, and data entry into Planning Center
- Assist Campus Pastor with managing schedule
- Oversee the purchasing for campus supplies
- Assist in all paperwork & workflow processes for campus (purchase reqs, check requests, etc.)
- Maintain and file documents
- Respond to emails and phone calls within a 24-hour time frame
- Provide daily assistance to the Campus Pastor for various needs/requests
- Meeting Schedule
- Coordinate weekly meetings with Campus Pastor and campus staff
- Monthly All-Staff meeting first Tuesday each month
- Any other meetings as needed
- Facilities
- Assist Campus Pastor in preparing facility throughout the week for upcoming services, small groups, events, etc.
- Assist Campus Pastor in maintaining excellence inside & outside the facility
- Assist in opening/closing of facility for small groups, and other on-campus meetings & activities
- Maintain supplies for events, trainings and communion
Sunday Responsibilities
- Available to Campus Pastor before, after, & during services for various needs that arise
- Assist with opening, closing, and prepping facility for all services/events
- Make sure all bases are covered for each team at each service
- Assist with planning, implementation, and facilitation of all services & Heights events
- Create a high-touch environment (love, encourage, welcome people)
- Seek out guests and facilitate an exceptional experience for them
- Identify/Resolve potential issues
- Manage all paperwork weekly (check requests, invoices, orders, receipts etc. from all areas) and send to the Central office
Other Responsibilities
- Assist with planning, staffing, and implementing all special events at the campus
Experience and Knowledge Required:
- Minimum of one year of administrative or support role
- Proven track record of effective time management
- Experience in problem solving
- Ability to handle multiple projects effectively
- Ability to learn and use Planning Center software
- Exceptional interpersonal, verbal, written and organizational skills
- Projects a professional and confident image, able to handle a stressful pace
- Ability to handle confidential information
- Basic understanding of accounting methods
- Proven leadership skills
