Reports To: Dir. of Business Operations

FLSA Status: Non-exempt/Salary

Position Type: Full time / 40 hours per week (Monday-Friday)

General Summary of the Position:

The Administrative Assistant will provide administrative, organizational and office support to the Pastor, including:

Calendar and Scheduling – managing the Pastor calendar, scheduling meetings, appointments, and travel itineraries.

Communication and Correspondence: managing incoming and outgoing correspondence including emails, phone calls, letters, cards, and mail, ensuring timely response and effective communication.

Travel Arrangements: planning and coordinating travel arrangements including booking flights, accommodation, and transportation.

Meeting Coordination: preparing meeting agendas, coordinating logistics, taking minutes, and distributing meeting materials.

Reports and Presentations Preparation: preparing reports, presentations, and other documents as asked by the Pastor, ensuring accuracy and professionalism.

Relationship Management: interacting with parish and school staff, contractors, parishioners, and the greater Catholic community while maintaining positive relationships.

May be asked to perform other duties as required.

Position Requirements

Proven experience as an Administrative Executive, Administrative Assistant, or similar role.

Excellent customer service and collaboration well with others.

Organize, detail-oriented, and manage time well.

Strong written and verbal communication skills.

Strong problem-solving skills with the ability to multitask and adapt in a fast-paced environment.

Maintain confidentiality and handle sensitive information with professionalism.

Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.

Job Qualifications

Education

Associate or bachelor’s degree in business administration, management, communication or a related field is preferred.

Experience

Experience as an Administrative Executive, Administrative Assistant, or similar role is preferred.

Previous experience of working effectively in a team-oriented and collaborative environment.

Ability to work flexible hours, including weekends and evenings.

Special Requirements

Practicing Catholic with thorough knowledge and understanding of Catholic teachings, preferred.

English proficiency required. Bilingual English/Spanish preferred.
